Configuring email ids, data files, accounts in Microsoft outlook 2013:

This section gives an overview about using different options in FILE MENU and we have explained in details about configuring email id (accounts), storing/opening/copying data files (.pst format). For more info, you can visit www.microsoft.com

FILE/INFO/Drop down box ACCOUNT SETTINGS:

Account Settings (Drop down Box): Used for changing settings for this account or set up more connections and connect to social networks. Click menu FILE/Info/Drop down Box Account Setting/Account Settings: A new screen is opened with different tabs like email tab, data files tab, RSS feeds, SharePoint lists, internet calendars, published calendars, address books.

Cleanup Tools (Drop Down Box): Used for managing the size of your mailbox by emptying deleted items and archiving.

Manage Rules & Alerts: Used for rules and alerts to help organize your incoming e-mail messages, and receive updates when items are added, changed, or removed.

Manage Add-Ins: Used for managing add-ins that are affecting your outlook experience.

FILE/OPEN & EXPORT:

  • Open Calendar: To open a calendar file in outlook (.ics, .vcs):
  • Open Outlook Data File: To open an outlook data file (.pst):
  • Import/Export: To import or export files and settings:
  • Other User’s Folder: To open a folder shared by another user:

FILE/SAVE AS:

Select one of the email messages and click menu file/save as: You can save an email message as a file and can be sent to any recipient.

FILE/SAVE ATTACHMENTS:

Select an email message that contains an attachment and click menu file/save attachments: The attachment in the email message will be saved.

FILE/PRINT:

This is used for printing purpose.

FILE/OFFICE ACCOUNT:

This provides information about outlook, the version that has been installed and how to manage the account.

FILE/OPTIONS:

Several options are provided under the following headings and you can customize the outlook as per your convenience. GENERAL, MAIL, CALENDAR, PEOPLE, TASKS, SEARCH, LANGUAGE, ADVANCED, CUSTOMIZE RIBBON, QUICK ACCESS TOOLBAR, ADD-INS, TRUST CENTER.

FILE/EXIT:

To close Outlook and exit.

HOW TO CONFIGURE EMAIL IDS (accounts) in OUTLOOK 2013:

FILE/INFO/Drop down box ACCOUNT SETTINGS/ACCOUNT SETTINGS:

Outlook is very useful in configuring the emails from email service providers like @gmail.com or @yahoo.com or @redifffemail.com or company domains (@wellsfargo.com or @deloitte.com) etc. You may be having a personal email account and business email account with two email service providers. Instead of logging in to different email service providers, you can configure those two email ids to your outlook and use all features of outlook.

If you want to create a new account, Click menu FILE/Info/Drop down Box Account Setting/Account Settings: A new screen is opened with different tabs.

  • Under email tab, click new. A new screen is opened.
  • Click email account. Click next.
  • In the next screen, enter your name, email id, password and type password (password: if you are configuring yahoo email id then type your yahoo email id and its relevant password.) Click next.
  • In the next screen, outlook will complete the setup of the account, establish network connection, and logon to the mail server (yahoo or Gmail or whatever it is) and download the emails from that mail server.
  • Similarly create another account and try to use both emails id within outlook.

You have to make sure while sending emails since you have two email accounts configured in your outlook. . You have to choose the email id from which the email has to be sent.

Under email tab, you can see the accounts (configured email IDs). Double click that account to see how it has been configured. Moreover you can see different options like new, repair, change, set as default, and remove that account.

TO VIEW DATA FILES, COPY DATA FILES:

FILE/INFO/Drop down box ACCOUNT SETTINGS/ACCOUNT SETTINGS:

Click menu FILE/Info/Drop down Box Account Setting/Account Settings. Click the data file tab. Under data file tab, you can see the file location of the Microsoft data file. Data file is the file where all data from Microsoft outlook is stored in .pst format. You can see different options like add, settings, set as default, remove and open file location etc.

If you want to copy this data file, close the outlook. Go to that file location, copy it and paste it in some storage device. After copying, you can also paste this data file to the right default location of Microsoft Outlook in another laptop and you can use the feature of open file location in using Outlook.

FILE/OPEN & EXPORT/ IMPORT-EXPORT:

  1. Export RSS Feeds to an OPML file: Export RSS feed information to an OPML file.
  2. Export to a file: Export Outlook information to a file for use in other programs.
  3. Import a VCARD file (.vcs): Import a VCARD file to the contacts folder.
  4. Import an iCalendar (.ics) or vcalendar file (.vcs): Import information from an iCalendar or vCalendar file to the central folder.
  5. Import from another program or file: Import data from other files, such as outlook data files (.pst) and text files.
  6. Import RSS feeds from an OPML file: Import RSS feed information from an OPML file.
  7. Import RSS feeds from the common feed list: Import RSS feed information from the common feed list.
